Terms & Conditions

These terms and conditions are valid for every tour organised by Vago Cycling. They are subject to changes, therefore at the time of your departure for a tour the most current terms and conditions will apply. By using any part of our website or sharing your personal information with us, you are accepting and consenting to the practices described in our Privacy Policy.

PRICING
Prices on Vago Cycling website are displayed in € per person, include taxes and are based on double occupancy. For those guests who don’t wish to share their room a Single Supplement will be applied. This supplement varies depending on the tour and can be found on each individual tour page. For those guests who do not wish to cycle (non-riders), quotation will be provided on a case by case basis.
The “Price From” listed on this website refers to a specific tour, date, hotel lineup, and group size. Actual tour prices may differ from the price listed. The delayed arrival to one tour or the early departure from it give guests no right to price adjustment or refund. After your booking request has been received and confirmed by Vago Cycling you will be sent a final quotation. A given price quote is valid for 7 days and, after this period, is subject to repricing. All prices and quotes are subject to verification by Vago Cycling staff.
In order to accept a quotation and confirm a reservation guests are requested to pay a 500€ deposit or the whole amount of the given price.

DEPOSIT
In order to confirm your reservation and to secure your participation to a Vago Cycling trip you are requested to pay a 500€ deposit. For private and custom tours the requested deposit may vary.

FINAL PAYMENT
Once a deposit has been received, and your reservation has been confirmed and accepted by Vago Cycling, a final invoice will be sent to every guest. The remaining balance of the total amount is due 90 days prior to the departure date. For reservations made within 90 days of the tour’s departure, the whole payment is due at time of booking.

LATE PAYMENT
If final payment is not received by 15 days past the final payment deadline your reservation is subject to cancellation and no refund will be due. At any time Vago Cycling reserves the right to apply a 150€ late payment fee.

PAYMENT METHODS
Payments must be in €, and can be made by credit card (on Wetravel booking platform) or by bank wire. We do not accept cash.

CANCELLATION POLICIES

These cancellation policies consider the costs Vago Cycling incurs long before guests ever depart for a trip and will strictly be applied by Vago Cycling. Trip price is defined as everything purchased from Vago Cycling as part of your trip, including upgrades and Single Supplement.
If for any reason you are forced to cancel your reservation, the below listed timeline describes your options to choose either a refund or future trip credit based on your cancellation date. Please do not hesitate to contact us if you have any question

Vago cycling will always try to accommodate any request and to provide maximum flexibility to our guests. However, in order to protect your travel investment, we recommend that you purchase a travel protection plan valid against any unexpected event that may affect your ability to travel with us.

Note: A Future Trip Credit is non-transferrable, non-refundable, and only valid for travel within one year of cancellation. Once a Travel Credit has been applied to a tour it is considered non-refundable.
Note: Private and Custom tours may be subject to different terms and conditions as outlined in the final tour proposal.

SCHEDULES TOURS CHANGES REQUESTED BY GUESTS
Any request to change tour or date of an existing reservation will be accommodated based on availability. If the change request is made inside 60 days prior to departure a minimum €100 per person late change fee will be applied. The guest is responsible for any additional cancellation fees incurred from hotels, etc and must pay any increase in tour price. Only one date change per reservation is permitted.

PRIVATE AND CUSTOM TOUR CHANGES REQUESTED BY GUEST
Requested changes to an existing Private or Custom Tour reservation will be handled on a case-by-case basis. When Vago Cycling is able to accommodate changes, a change fee can be applied. The fee amount depends on the magnitude of the requested changes. The guest is responsible for any additional cancellation fees incurred from hotels, etc. and must pay any increase in the tour price caused by the change.

TOUR CHANGES AND CANCELLATIONS MADE BY VAGO CYCLING
Vago Cycling reserves the right to make date, route, bikes, activity, and hotel modifications to any tour. This includes the details of itineraries as they appear on vagocycling.com. Every effort is constantly made to keep changes to a minimum. Vago Cycling retains the right to cancel, modify, or delay any tour at any time for any reason. If a tour is canceled by Vago Cycling, travellers will receive a Travel Credit for all monies paid to Vago Cycling for the canceled tour.
Vago Cycling is not responsible for any personal expenses incurred due to changes in itineraries or tour cancellations, such as prepaid hotel accommodations or airline tickets. We strongly recommend confirming your tour with Vago Cycling before making any additional travel arrangements.

TRAVEL PROTECTION
Travel Protection Plans are not provided by Vago Cycling and are not mandatory in order to join a Vago Cycling tour. However we strongly advise guests to enroll in a Travel Protection Plan in order to protect your travel investment, your belongings, and most importantly, you.

BIKE MODELS
When reserving a tour guests are requested to choose a bike model. Vago Cycling will always try to accommodate guests requests but, by reserving a tour, you accept that the bike delivered by Vago Cycling may differ from the requested one.
The bikes labeled as “Premium” in the Our Bikes section of vagocycling.com are subject to an upgrade fee.

CHILDREN ON TOUR
To participate in a Vago Cycling tour, guests must be age 18 or older. Travelers under the age of 18 are welcome to participate in Private tours and must be accompanied by an adult.

TRAVEL DOCUMENTS
Each guest must obtain a valid passport and any applicable visas prior to departure. If a guest is unable to obtain required travel documents or is prohibited from entering Italy, our standard cancellation policy will apply. Required documents to enter Italy vary according to your nationality. Please verify with your embassy what kind of documents/visas you must obtain before your departure.

EXTRA SERVICES
Before, during or after a tour, Vago Cycling may recommend guests the services of other companies including hotels, transportation, restaurants, and other services. While Vago Cycling takes care to recommend excellent and reliable external organisations, we do not guarantee services provided by these companies and are not liable for any issue, or cancellation that may arise.

GUEST PROFILE
After your reservation has been accepted and the deposit has been received by Vago Cycling a Guest Survey will be sent to you. The Guest Survey enables Vago Cycling to finalize your tour details (bicycle, dietary restrictions, special needs) and must be signed and returned to Vago Cycling within 10 days from receipt.

VAGO CYCLING TRAVELER CODE
By reserving a tour with Vago Cycling you agree to every point listed in the following Travel Code:

• My abilities, level of fitness and state of health are adequate for the tour I have chosen.
• I do not have any physical conditions or disabilities that are a hazard to me or other travelers.
• I have a valid passport and all visas, permits, certificates, and vaccinations required for travel. I will read all pre-tour materials. I will make sure to communicate any special requests at least 30 days prior to travel. This includes dietary restrictions, medical requirements, and room preferences. I understand that Vago Cycling will make every effort to accommodate special requests but cannot guarantee they will be met.
• I will respect the laws and customs of the visited countries.
• I will follow environmental guidelines and regulations while on the tour in accordance with guide direction.
• I will respect the rights and privacy of fellow guests.
• I understand that group bike travel invariably involves compromise to accommodate the diverse desires, travel goals, personalities, and physical abilities of all group members. Vago Cycling guides may be required to improvise and exercise good faith, use discretion, and/or make decisions based upon group consensus. These decisions may not always please each individual, but are intended to satisfy the larger desires of the group.
• I understand that Vago Cycling reserves the right to refuse service during a tour to anyone whose health or behaviour could impede the welfare or enjoyment of fellow guests. An individual may be asked to leave a tour if the leader determines that the person’s continuing participation may prove detrimental to the individual or the group.
• I understand a road less traveled means that access to medical facilities and evacuation services may be limited.
• I understand the weather is out of Vago Cycling’s control.
• I will always wear a helmet when riding.
• I will not wear headphones when riding.
• I will not use my cell phone while riding.
• I will consume alcohol responsibly.
• I will be responsible for all and any damages made to people or objects during the duration of the tour.

If you do not consent to these regulations, you risk dismissal from the tour and returning home at your expense with no refund for the missed tour portion. Vago Cycling reserves the right to decline or cancel a reservation should the individual’s health or behaviour impede the welfare or enjoyment of fellow guests.

RELEASE OF LIABILITY
Vago Cycling is not liable for bodily injury or property damage as a result of (but not limited to): physical exertion for which a guest is not prepared; forces of nature; collisions with bicycles, pedestrians, or automobiles; road conditions including but not limited to lack of shoulder and roadway surfaces affected by weather conditions; travel by plane, train, auto, boat, or other conveyance, or by bicycle, ski, horseback, foot, or other form of active or adventure travel; consumption of alcoholic beverages;  consumption of drugs; civil unrest; terrorism; breakdown of equipment; high altitude; lack of or limited access to medical attention in remote locations or the adequacy of medical attention once provided. Guests who fail to provide a signed Release of Liability prior to departure will not be permitted to join the trip and standard cancellation policy will apply.

LIMITATIONS OF LIABILITY
Vago Cycling is not liable for expenses including meals, transportation, or hotel costs that are not specified as included in the tour cost but may be required to get to or from a tour start or end. Vago Cycling reserves the right to make route and hotel modifications as necessary to improve the quality of a tour or to accommodate the comfort and wellbeing of guests.

LOST BELONGINGS
Vago Cycling is not responsible for loss of passports, tickets, or other documents, or loss of or damage to luggage, personal property, or other passenger belongings. Given the nature of our tours, you will not always have your luggage with you. Therefore, we urge you to pack carefully and consider leaving valuables at home.

MISCELLANEOUS
While Vago Cycling makes every effort to ensure the accuracy of our publications, we cannot be held responsible for typographical or printing errors, including prices.
Vago Cycling recognizes that some guests may have severe food allergies. We make every effort to ensure that our suppliers are notified and prepared, but cannot guarantee that all requests will be accommodated.
Additionally, guests grant Vago Cycling permission to take photographs or film recordings for promotional and commercial use, without remuneration now or in the future. The guest agrees to assign all right, title, and interest they may have in or to any media in which their name or likeness might be used to Vago Cycling. Guests agree that Vago Cycling may use any testimonials regarding services rendered for promotional and/or commercial purposes without any remuneration now or in the future. Vago Cycling photography within this website is copyrighted by Vago Cycling and may not be reproduced without permission.
